About the Opportunity
The Project Management Office function advances Driscoll’s Mission via the management and execution of the DEMEA business unit’s top strategic initiatives. The group sits at the intersection of strategy, program management, business solutions, data science, and stakeholder engagement. The PMO team leverages standard processes, tools and technologies to employ best practices in project management across the project portfolio. We are seeking an experienced candidate to be a Project Coordinator on the organization’s top strategic initiative - the business transformation program and implementation of an Oracle Enterprise Resource Planning (ERP) system, referred to as Project Aurora. This position will support the Project Managers of the business transformation program and will be key in ensuring administration and co-ordination activities are managed proactively & effectively across the program to enable the core teams to focus on preparing, enabling and implementing the significant process changes required to implement Oracle ERP across the DEMEA business unit. This candidate possesses strong Project Coordinator skills, including: a. The ability to navigate and manage a challenging program calendar b. The ability to manage administrative activities across a cross functional, cross-country team c. Experience in managing the administrative/coordination tasks across large scale, diverse programs/projectsResponsibilities
Key responsibilities may vary by program phase, but may include:
Provide high-quality administrative support to project managers and the broader transformation team.
Own and maintain the program calendar, ensuring visibility and alignment across stakeholders.
Support project governance activities, including preparing documentation and tracking compliance.
Manage and organize central project documentation and shared repositories.
Prepare, compile, and distribute project materials, reports, and status updates.
Take ownership of meeting coordination: scheduling, agendas, and timely distribution of minutes.
Coordinate logistics for meetings, workshops, and travel across multiple countries.
Track and process invoices, expense reports, and purchase orders.
Support onboarding and offboarding processes for internal team members and external vendors.
Assist in tracking resource plans and vendor cost allocations
Monitor and maintain the Aurora PMO shared mailbox, escalating or responding as needed.
Conduct regular roster audits and support security reviews for program resources.
Produce daily test dashboard reports during testing phases.
Create and maintain project templates and refine processes for efficiency.
Deliver ad-hoc reporting and support special clean-up projects as required by PMs or PMO leads.
Candidate Profile
CANDIDATE PROFILE & QUALIFICATIONS
- Minimum 5 years of experience in project administration or coordination role within complex, cross-functional programs.
- Tertiary qualification in Business Administration, Project Management, or related field (preferred).
- Project Management certification (e.g., PRINCE2, CAPM, PMP) is an advantage.
- Strong working knowledge of project management methodologies (Agile, Waterfall, Hybrid).
- Experience supporting ERP or large-scale digital transformation programs is desirable.
- Proficient in Microsoft Office Suite, SharePoint, and project management tools (e.g., ServiceNow, Smartsheet, MS Project, or equivalent).
