About the Opportunity

The Administrative Assistant provides essential administrative and clerical support to the Northern CA Field Operations Sr. Nursery Manager and broader McArthur Management Team. This role supports the day-to-day operations by coordinating meetings and office logistics, managing key documentation, and assisting with employee-related processes such as hiring, layoffs, and injury reporting. The ideal candidate thrives in a dynamic environment, demonstrates a high level of professionalism and confidentiality, and excels in both English and Spanish communication.

Responsibilities

•    Provide comprehensive calendar management, including scheduling meetings, appointments, and site visits.
•    Prepare agendas, record action items, and draft follow-up correspondence for meetings and internal programs.
•    Support supervisors and employees in navigating HR processes through the “Ask HR” channel.
•    Assist with the seasonal employee hiring and layoff processes in coordination with supervisors and HR.
•    Incident Communication: Immediately report to management any major accidents, significant first aid events, non-injury incidents, or illnesses occurring on-site, ensuring timely response and documentation.
•    Safety Metrics Ownership: Collaborate with management in tracking, analyzing, and improving defined safety performance metrics to measure program effectiveness and drive continuous improvement.
•    Maintain a calendar of critical deadlines for McArthur operations, ensuring timely follow-ups.
•    Coordinate visitor schedules and maintain an up-to-date visitor calendar.
•    Arrange travel, lodging, and transportation; prepare detailed itineraries for team members.
•    Provide ongoing administrative support to the McArthur management team.
•    Organize and maintain both electronic and physical filing systems.
•    Manage incoming calls and mail; route appropriately.
•    Welcome and direct visitors in a professional and courteous manner.
•    Draft, proofread, and finalize internal and external communications including letters, memos, reports, and forms.
•    Maintain records related to employee housing and facilities.
•    Process labor tracking specific projects.
•    Support managing the physical inventory and purchasing process.
•    Support the annual budgeting process and monthly financial updates.
•    Monitor inventory and place orders for office, mailing, and kitchen supplies as needed.
•    Coordinate janitorial services and office equipment maintenance.
•    Uphold and model Driscoll’s company policies and professional standards in all interactions.
•    Ensure confidentiality and proper handling of proprietary and sensitive information.
•    Perform additional duties as assigned in support of team and business objectives.
•    Embrace a culture of continuous improvement and collaboration across functions.

Candidate Profile

Requirements

•    3 - 5 years of experience in office administration or a combination of business education and relevant work experience; college degree preferred but not required.
•    Strong verbal and written communication skills with a high degree of professionalism; solid grammar and editing abilities required.
•    Bilingual proficiency (English and Spanish) strongly preferred; full fluency in both spoken and written formats strongly preferred.
•    Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); ability to learn other systems as needed.

•    Must be able to work extended hours when business needs require.
•    Demonstrated discretion and ability to manage confidential information with integrity.
•    Occasional travel may be required.
•    Must possess a valid California Driver’s License and qualify for company-sponsored vehicle insurance coverage.

Compensation & Benefits

The following information is provided in good faith as a general description of the salary range and benefits for the position posted.  The actual compensation offered to the successful candidate is dependent upon experience, skills, education, work location, internal pay equity, and other objective job-related factors.

Salary Range estimated for the Administrative Assistant: $19 to $24.50 USD, hourly.
